What to Do When an Account Owner Leaves Your Organization

When an employee who connected a channel integration leaves your organization (or their credentials are revoked), data will stop flowing for that integration. This is because Clarisights uses the connecting user's credentials to authenticate with the source platform's API.

Symptoms

  • Data stops appearing after a specific date

  • Only one channel is affected (the one connected by the departed employee)

  • The integration may show an error or "disconnected" status on the Integrations page

How to Fix It

  1. Go to Integrations in Clarisights and find the affected channel.

  2. Connect a new account using credentials from a current team member who has API access to the same advertising accounts.

  3. Verify the accounts are selected. After connecting, ensure the same ad accounts are checked/enabled.

  4. Request a backfill by contacting the Clarisights team. Let us know:

    • Which channel was affected

    • The date data stopped (this is usually the day the old employee lost access)

    • The date range you need backfilled

Data will typically be restored within a few hours of the backfill being triggered.

How to Prevent This

  • Use a shared service account for OAuth integrations where possible (e.g., a team-owned Google account like ads-api@yourcompany.com)

  • Connect integrations with multiple users — some channels support this as a fallback

  • Review connected accounts regularly on the Integrations page. If an owner leaves, reconnect promptly to minimize data gaps.
